Privacy Policy
Effective October 11, 2026
This Privacy Policy explains what information CROWMA LLC ("we", "us") collects when you visit our website or use CROWMA Work Orders (the "Service"), how we use it, and the choices you have. If you have questions, email [email protected].
1. Information we collect
Account information. When an organization signs up, we collect the organization's name and the contact person's name, email address, phone number (optional) and password. Owners add other Users by name and email address. Passwords are stored only in scrambled (hashed) form.
Customer Data. The information organizations and their Users put into the Service: work orders, schedules, tasks, maintenance records, notes, photos, locations, inventory, and the names, email addresses and (if text messages are turned on) mobile numbers of staff and crew.
Billing information. Subscriptions are paid through Stripe. Stripe collects and stores card details. We receive a customer number, the plan, the subscription status and renewal dates, but never your full card number.
Technical and usage information. Like most websites, our server records internet (IP) addresses, browser type and the pages requested. We record when each User last opened the app and who changed each work order, so organizations can see their history.
Google Analytics. We use Google Analytics to understand how people find and use our website and app (for example, which pages are visited and roughly where visitors are from). Google Analytics uses cookies and receives information such as the pages you view and your browser and device type. It does not receive the contents of your work orders. You can learn how Google uses this information at https://policies.google.com/technologies/partner-sites and opt out at https://tools.google.com/dlpage/gaoptout.
2. Cookies
- Sign-in cookies keep you signed in. They are required for the app to work.
- Trusted device cookie. If you choose "Trust this device for 30 days" when entering a sign-in code, a cookie remembers that device so you are not asked for a code each time.
- Analytics cookies from Google Analytics, described above.
You can block or delete cookies in your browser settings. If you block sign-in cookies, you will not be able to use the app.
3. How we use information
- To provide the Service: show schedules, send assignment emails, daily summaries, weekly schedules and (if turned on by your organization) text messages.
- To create and secure accounts, including emailing sign-in codes and password reset links.
- To process subscriptions and send billing notices.
- To answer questions and provide support.
- To keep the Service safe, prevent abuse, and fix problems.
- To understand how the Service is used so we can improve it.
- To follow the law and enforce our Terms of Service.
We do not sell personal information, and we do not use Customer Data for advertising.
4. Who we share information with
We share information only with companies that help us run the Service, and only as needed for that work:
- Our web hosting provider, which stores the Service and its data on servers in the United States.
- Our email delivery provider, which sends account and work order emails.
- Stripe, for payments.
- Google, for Google Analytics.
- If an organization turns on text messages, the text message provider that organization chooses (such as Twilio or Infobip) receives the recipient's mobile number and the message.
We may also share information if the law requires it, to protect the rights and safety of our users or others, or as part of a merger or sale of our business (in which case this Policy continues to apply).
5. Customer Data belongs to the organization
Each organization controls its own Customer Data and decides who can see it. We handle Customer Data on the organization's behalf. If you are a staff or crew member and want your information changed or removed, please contact your organization's owner first. We will help them with your request.
6. How long we keep information
- We keep account information and Customer Data while the organization's account is open.
- When an owner removes a User, that User's login is deleted. Their name may remain in past work order history.
- When an organization closes its account, we keep its data for 30 days in case it changes its mind, and then delete it, including all logins and photos.
- Backup copies are replaced on a rolling basis and are normally gone within 60 days.
- We keep billing records as long as tax and accounting laws require.
7. Security
We use encrypted connections (HTTPS), scrambled passwords, emailed sign-in codes for owners and office staff, and separate storage for each organization so one organization cannot see another's data. Photos are stored privately and are only shown to signed-in members of the organization they belong to. No system is perfectly secure, so we cannot guarantee security. If we learn of a breach that affects your personal information, we will notify you as the law requires.
8. Your choices and rights
- You can see and correct your name and email address with your organization's owner, and change your password at any time.
- Owners can download all of their organization's data with "Export all data", and can close the account to have it deleted.
- Depending on where you live, including under the Oregon Consumer Privacy Act, you may have the right to ask what personal information we have about you, to get a copy, to correct it, or to have it deleted. Email [email protected] to make a request. We will not treat you differently for using these rights. If we deny a request, you may appeal by replying to our answer.
9. Children
The Service is for businesses and organizations. It is not meant for children under 16, and we do not knowingly collect their personal information.
10. Changes to this Policy
We may update this Policy. The date at the top shows when it last changed. If a change is significant, we will email account owners before it takes effect.
