Terms of Service
Effective October 11, 2026
These Terms of Service ("Terms") are an agreement between CROWMA LLC, a limited liability company organized in Oregon ("we", "us"), and the organization that signs up for CROWMA Work Orders (the "Customer", "you"). The person who signs up confirms they are allowed to accept these Terms for the Customer. By creating an account or using CROWMA Work Orders, you agree to these Terms and to our Privacy Policy at https://crowma.com/privacy.
1. The service
CROWMA Work Orders is an online work order system. Office staff schedule work orders and maintenance tasks, and crew members check off tasks, add notes and add photos from a phone or computer (the "Service"). We may improve or change the Service over time. If we remove a major feature you rely on, we will tell you ahead of time when we reasonably can.
2. Accounts and users
- Each Customer has one or more owners. Owners add and remove the people ("Users") who can sign in for the Customer and choose their access level (Owner, Office or Crew).
- You are responsible for everything your Users do in your account, for keeping the information you give us accurate, and for removing people who should no longer have access.
- Each User must keep their password private. Owners and office staff may be asked for a sign-in code sent by email. Tell us right away at [email protected] if you think someone has gotten into your account.
- We may review new sign-ups and may decline any sign-up.
3. Free trial, subscription and payment
- If we offer a free trial, you will not be charged until it ends. If you do not cancel before the trial ends, your subscription starts and your payment method is charged.
- Subscriptions renew automatically each month or year, depending on the plan you choose, until cancelled. You can cancel at any time from the Subscription page or by closing your account. When you cancel, there are no more charges. We do not give refunds or credits for partial periods, unless the law requires it.
- Payments are processed by Stripe. We never see or store your full card number.
- If a payment fails, you keep access for 7 days while you update your payment method. After that we may pause your account until payment is made.
- Prices do not include taxes unless we say so. We may change prices with at least 30 days' notice by email. The new price applies from your next renewal after the notice period.
4. Your data
- You own the work orders, notes, photos, schedules and other information you and your Users put into the Service ("Customer Data").
- You give us permission to store, copy, process and display Customer Data only as needed to run, support, secure and improve the Service, and as described in our Privacy Policy. We do not sell Customer Data.
- You can download a copy of your Customer Data at any time with "Export all data".
- Each Customer can store up to 1 GB of photos. When you reach the limit, you can delete older photos or contact us.
- You are responsible for having the right to put Customer Data into the Service, including any personal information about your staff, crew or guests.
5. Text messages and emails you send
If you turn on text messages, you connect your own account with a text message provider (such as Twilio or Infobip), you pay that provider, and you are responsible for getting each person's consent before they receive texts and for following the laws that apply to text messages, including the Telephone Consumer Protection Act. People can reply STOP to opt out. Emails the Service sends for you (such as assignment notices and weekly schedules) go to the addresses you enter.
6. Acceptable use
You agree not to: break the law using the Service; upload anything you do not have the right to share, or anything harmful or offensive; try to get into another Customer's account or data; test, probe or overload the Service's security or systems; copy, resell or rent the Service; or use it to send spam. We may suspend an account that breaks these rules or puts the Service or other Customers at risk. When we reasonably can, we will tell you first and give you a chance to fix the problem.
7. Availability and support
We work to keep the Service available and to back up data every night, but we do not promise that it will always be available or free of errors, or that data can never be lost. Support is by email at [email protected]. We may need short planned outages for maintenance.
8. Closing your account
- An owner can close your account at any time in Setup. Closing cancels your subscription right away.
- After you close your account, we keep your Customer Data for 30 days in case you change your mind, and then delete it, including all Users and photos. Copies in our backups are deleted as those backups are replaced, normally within 60 days.
- We may close an account for a serious or repeated breach of these Terms, or if we stop offering the Service. If we stop offering the Service, we will give at least 30 days' notice so you can export your data, and we will refund any prepaid fees for the time after the Service ends.
- Sections 4, 9, 10, 11 and 12 continue to apply after your account is closed.
9. Disclaimer
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE". TO THE FULLEST EXTENT ALLOWED BY LAW, WE DISCLAIM ALL WARRANTIES, WHETHER EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE AND NON-INFRINGEMENT. CROWMA Work Orders helps you organize work; it does not replace your own safety checks, inspections, or legal or code requirements, and you remain responsible for the safety and condition of your facilities.
10. Limitation of liability
TO THE FULLEST EXTENT ALLOWED BY LAW: (a) NEITHER PARTY IS LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE OR DATA, EVEN IF TOLD THEY WERE POSSIBLE; AND (b) OUR TOTAL LIABILITY FOR ALL CLAIMS RELATED TO THE SERVICE IS LIMITED TO THE AMOUNT YOU PAID US FOR THE SERVICE IN THE 12 MONTHS BEFORE THE EVENT THAT CAUSED THE CLAIM. These limits do not apply to your payment obligations or to your obligations under Section 11.
11. Indemnity
You will defend and hold harmless CROWMA LLC from claims by third parties arising from your Customer Data, your text messages, or your or your Users' breach of these Terms or of the law, and pay the resulting costs, damages and reasonable attorney fees.
12. Governing law
These Terms are governed by the laws of the State of Oregon, without regard to its conflict of laws rules. Any dispute will be decided in the state or federal courts located in Oregon, and both parties agree to those courts' jurisdiction. Before filing a claim, each party agrees to try to resolve the dispute informally by contacting the other for at least 30 days.
13. Changes to these Terms
We may update these Terms. If a change is significant, we will email account owners at least 30 days before it takes effect. If you keep using the Service after a change takes effect, you accept the new Terms. If you do not agree, you can close your account before then.
14. Other terms
These Terms and the Privacy Policy are the whole agreement between you and us about the Service. If any part is found unenforceable, the rest still applies. Not enforcing a part of these Terms is not a waiver. You may not transfer this agreement without our written consent; we may transfer it as part of a merger or sale of our business. Neither party is responsible for delays caused by events beyond its reasonable control.
